EezEvent Privacy Policy

This Privacy Policy ("Policy") describes how EezPlatforms LLC ("EezEvent," "we," "us," or "our") collects, uses, discloses, and protects information when you access or use the EezEvent mobile application, website, and related services (collectively, the "Platform").
By using the Platform, you acknowledge that we collect and use information as described in this Policy. If you do not agree with this Policy, do not use the Platform.
1. Information We Collect
We collect information you provide directly, information generated through your use of the Platform, and limited technical information needed to operate the Platform.
1.1 Account and Authentication Information
We may collect:
- Name, email address, and phone number.
- Account role, such as client, event planner, vendor owner, business team member, service team member, or event team member.
- Planner status and account preferences.
- Login credentials when email/password login is available.
- Information received from authentication providers, including Google Sign-In and Apple Sign-In, such as identity tokens and account profile information needed to create or authenticate your EezEvent account.
- Legal document acceptance records, including accepted policy or agreement version and acceptance timestamp.
1.2 Client, Planner, and Event Information
Clients and planners may provide:
- Event names, descriptions, event types, dates, start and end times, zip codes, guest counts, budgets, and requested service categories.
- Event profile images and other uploaded event materials.
- Client contact information used by planners or vendors to create or manage events on behalf of a client.
- Event team member details, including names, email addresses, and phone numbers.
1.3 Vendor, Business, and Service Information
Vendors and vendor team members may provide:
- Business names, contact names, email addresses, phone numbers, descriptions, and business addresses.
- Service information, including service type, service area, pricing, service descriptions, social links, availability details, and related business information.
- Service images, main photos, catalog item images, catalog titles, catalog prices, catalog notes, and display order.
- Business team member and service team member details, including names, email addresses, and phone numbers.
- Calendar blocks, unavailable time periods, reservations, and scheduling details.
1.4 Inquiry, Messaging, Quote, Contract, and Document Information
When users interact through the Platform, we may collect:
- Vendor search, outreach, and lead information.
- Inquiry details, inquiry status, quote amounts, quote responses, contract status, scheduling status, cancellation status, completion status, and inquiry audit history.
- Messages and conversation metadata between clients, planners, vendors, and team members.
- Uploaded inquiry attachments, such as quotes, contracts, invoices, schedules, permits, receipts, and other supporting documents.
- Availability checks and overlapping commitment information used to help users understand scheduling conflicts.
1.5 Photos, Files, and Device Permissions
The mobile app may request access to your photo library so you can upload event images, vendor service images, catalog item images, and inquiry attachments. We collect the files you choose to upload. We do not access photos or files unless you select them for use with the Platform.
The Android app configuration may include media and audio-related permissions. As of the effective date of this Policy, EezEvent uses media access to support image and file uploads and does not offer payment processing through the app.
1.6 Notifications and Device Information
If you enable or interact with push notifications, we may collect:
- Expo push notification token.
- Device operating system.
- Device label or device name when available.
- Notification-related metadata, such as unread message counts or inquiry identifiers needed to route you to the right screen.
We may also collect device and technical information such as IP address, browser type when using web pages, device type, timestamps, app version, update channel, runtime version, logs, diagnostics, and server request information needed to operate, secure, troubleshoot, and update the Platform.
1.7 Local Storage and Session Information
The mobile app may store limited session and preference information on your device, such as authentication token, user type, email address, phone number, name, planner status, theme preference, and cached feature state. Website pages may use browser storage or cookies for session or site functionality if needed.
1.8 Information from Other Users and Third Parties
We may receive information about you from:
- Clients, planners, vendors, business team members, service team members, and event team members who invite you, message you, create an event involving you, or add your contact details to a team or workflow.
- Google and Apple when you use their sign-in services.
- Service providers that help us operate the Platform.
2. How We Use Information
We use information to:
- Create, authenticate, maintain, and secure accounts.
- Provide client, planner, vendor, business, service, event, inquiry, messaging, document, calendar, outreach, lead, reservation, and notification features.
- Allow users to search vendors, send inquiries, respond to inquiries, exchange messages, upload documents, send quotes, manage contracts, schedule work, and track booking status.
- Display vendor profiles, service catalogs, event details, inquiry details, dashboards, notifications, and calendar views to authorized users.
- Send service-related notices, push notifications, email validation messages, legal-document prompts, support responses, and operational updates.
- Provide customer support and respond to requests.
- Monitor, troubleshoot, secure, maintain, and improve the Platform.
- Enforce agreements, prevent misuse, protect rights and safety, and comply with legal obligations.
As of the effective date of this Policy, EezEvent does not use analytics, advertising, attribution, or tracking SDKs in the mobile app, and does not sell personal information.
3. Payments
EezEvent does not process payments in the submitted app version as of the effective date of this Policy. Quotes, contracts, reservation information, and related documents are used for planning and workflow coordination. If payment features are added later, we will update this Policy as appropriate.
4. How We Share Information
We do not sell your personal information.
We may share information in the following ways:
4.1 With Clients, Planners, Vendors, and Team Members
Information may be shared with other users when needed to provide Platform features. For example:
- Event details, service needs, messages, inquiries, uploaded documents, quote status, contract status, scheduling information, and contact information may be visible to users involved in the relevant event, inquiry, business, service, or team workflow.
- Vendor business profiles, service details, pricing, photos, catalog items, public contact information, and availability-related information may be shown to clients and planners.
- Client or planner event information may be shown to vendors when a user sends an inquiry, responds to outreach, or otherwise interacts with a vendor.
4.2 With Service Providers
We use service providers to operate the Platform. As of the effective date of this Policy, production user data is processed or stored using Amazon Web Services (AWS). We may also use service providers for authentication, notifications, hosting, infrastructure, storage, email or communication delivery, app updates, security, and support.
These providers may process information only as needed to provide services to us and are expected to protect information appropriately.
4.3 Authentication and Platform Services
If you use Google Sign-In or Apple Sign-In, information is exchanged with Google or Apple to authenticate your account. If you enable push notifications or app updates, information may be processed through Expo or platform services needed to deliver those features.
4.4 Legal, Safety, and Business Transfers
We may disclose information if we believe disclosure is necessary to:
- Comply with law, legal process, or government requests.
- Enforce our agreements or policies.
- Protect the rights, safety, security, or property of EezEvent, users, vendors, or others.
- Investigate or prevent fraud, abuse, security incidents, or technical issues.
- Support a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.
5. Data Retention and Deletion
We retain information for as long as reasonably necessary to provide the Platform, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, and protect the Platform.
The app includes account deletion flows for clients and vendor owners, and some features allow deletion of events, businesses, services, service images, catalog items, calendar blocks, team members, and inquiry attachments. Deletion may not remove all information immediately from backups, logs, legal records, audit history, transaction history, records needed to protect other users, or records we must retain for legitimate business, security, dispute-resolution, or legal reasons.
We may retain aggregated, de-identified, or anonymized information that does not identify you.
6. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no system, network, or storage method is completely secure, and we cannot guarantee absolute security.
You are responsible for maintaining the confidentiality of your account credentials and for limiting access to your device.
7. Your Rights and Choices
Depending on your location, you may have rights to:
- Access or request a copy of personal information.
- Correct inaccurate personal information.
- Request deletion of personal information.
- Object to or restrict certain processing.
- Request portability of personal information.
- Withdraw consent where processing is based on consent.
You may update some profile, business, event, service, image, catalog, calendar, team, and account information directly in the app. To request help with privacy rights or deletion, contact support@eezevent.com.
8. U.S. State Privacy Rights
Certain U.S. state privacy laws may provide additional rights, including the right to know what personal information we collect, use, disclose, or share; the right to request correction or deletion; and the right not to be discriminated against for exercising privacy rights.
We do not sell personal information. As of the effective date of this Policy, we do not use personal information for cross-context behavioral advertising or targeted advertising.
9. Cookies, Tracking, and App Store Privacy
As of the effective date of this Policy, EezEvent does not use advertising, attribution, or tracking SDKs in the mobile app. We do not link data collected from the app with third-party data for targeted advertising or advertising measurement, and we do not share data with data brokers.
Website pages may use cookies or browser storage for basic site or session functionality. The mobile app may use local device storage for session, preference, and app functionality purposes as described above.
10. Third-Party Links and Services
The Platform may contain links to third-party websites, services, documents, or profiles. We are not responsible for the privacy practices of third parties. Your use of third-party services may be governed by their own privacy policies and terms.
11. Children's Privacy
The Platform is not intended for users under 18. We do not knowingly collect personal information from users under 18. If we learn that we have collected personal information from a user under 18, we will take appropriate steps to delete the information or otherwise address the issue.
12. International Users
EezEvent is operated from the United States. If you access the Platform from outside the United States, your information may be transferred to, stored in, and processed in the United States or other locations where our service providers operate.
13. No Reliance on Platform Data
Information displayed on the Platform, including vendor details, event details, messages, inquiry status, quote status, calendar status, availability information, documents, and workflow information, may be incomplete, delayed, or inaccurate. Users should verify important details directly with the relevant client, planner, vendor, or business before making decisions.
14. Changes to This Policy
We may update this Policy from time to time. When we update it, we will revise the effective date above. Continued use of the Platform after an updated Policy becomes effective means you acknowledge the updated Policy.
